Housing & Meal Plan Accommodations

If you encounter barriers due to a disability, CCA offers housing & meal-plan accommodations, please follow the Accommodation Process described below.

To ensure availability, it is best to complete the accommodations process and your housing application by the priority deadlines as follows:

APPLY EARLY AND BY THE HOUSING PRIORITY DEADLINE to secure the best time slot for room selection. On your housing application, you’ll indicate your room preferences. Once submitted by the priority deadline (May 22nd for the Academic Year application and November 15th for Spring Semester Only application), CCA Housing will email you your assigned room selection time slot.

Room selection time slots are assigned based on:

  • Accommodation Requests: Students with specific room needs for accessibility or disability accommodations.
  • Student Status: Graduate students, 3rd and 4th year students, are given priority over 1st and 2nd year students.
  • Application Submission: Priority is given by the date the application was completed and submitted, meaning earlier applications receive earlier timeslots.

During your assigned slot, you’ll have the opportunity to select a room based on current availability.



Policy Statement

CCA is committed to ensuring individuals with disabilities enjoy full and equal access to our services and facilities. In alignment with this commitment, CCA offers accessible and comparable accommodations for students with disabilities, without imposing any surcharges for approved housing accommodations.

Avoid a Waitlist
Accommodations are provided on a space-available basis. Complete the process as early as possible to prevent issues in providing approved accommodations.


Interactive Process

After a student is approved for a Housing / Meal Plan Accommodation, this information is stored on Workday and is carried forward each year. Continuing students do not need to renew their accommodation UNLESS they request a change or update to the accommodation.

Step 1

Submit the Housing & Meal Plan Accommodation Request Form.

  • Select "Renewal Request" when completing the form.
  • Share what did not work with your current accommodations in the form.

    • Complete the steps below, you should meet with us again to discuss the requested updates.

Step 2

Schedule an appointment with a member of the Disability Services team

  • This step begins the interactive process. You will share the barriers you may experience and Disability Services will approve accommodations accordingly.
  • For new students moving in the Fall, please schedule your appointments during April.

Step 3

Complete the housing application via your CCA Housing Account.

Step 4

Keep an eye on your CCA Email Address and respond promptly to housingdining@cca.edu and access@cca.edu.

To protect your privacy and ensure confidentiality, please only send medical documentation using the Housing & Meal Plan Accommodations Form or directly to access@cca.edu. Please do not submit your documentation to the Housing & Dining office.


Housing Application and Assignments Process Timeline

To ease potential concerns, here is a general timeline for the housing assignment process. Please remember, that this timeline is flexible, as each year's housing application cycle will vary. The intention is to help you navigate this process with ease and flexibility. If you have any questions or need more information, please reach out or schedule an appointment.

Mid-February

Housing Application opens

Mid-May

Housing Priority Deadline for following Academic Year

June 2 - 6: Self-Elected Room Selection Period

June 2 - Group 1: Students with approved housing accommodations
June 3 - Group 2: Graduate students
June 4 - Group 3: Continuing 3rd and 4th year Undergraduate students
June 5 - Group 4: 1st and 2nd year Undergraduate Students and 1st and 2nd Year Transfer Students
June 6 - Last Day for all students to select and finalize room selection!

After June 6: CCA-Elected Room Selection Period

Student will no longer be able to select their own room; CCA will assign rooms based on current availability. Students who want to join the waitlist for a different room assignment should refer to the Room Change Request and Waitlist Guide for more information.

June 15

Last day to submit Housing Exemption request for Fall 2025.

June 16

Students will receive an email with their room assignment. (Students who submit their housing application after June 16 will be notified of their room assignment on a rolling basis.)

Move-In

A room freeze period begins. Housing conducts an occupancy audit to determine available units. Students are encouraged to fill out a roommate agreement to establish healthy boundaries and expectations.

A Few Weeks After Move-in

Room consolidation begins to ensure spaces are available for new/incoming students moving in Spring. Student room assignments may be changed to support the consolidation process. Room change requests also become an option for students.


Accommodations Terms

Housing & Meal Plan Accommodations for a permanent disability are renewed on an annual basis. Disability Services will request your acceptance of an accommodations renewal each year. If you received an accommodation based on a temporary condition in the prior year, you must establish a continuing disability need to continue the accommodation in subsequent year(s).

Accommodation requests may be made at any time, for example, if you have a newly-diagnosed condition or changes to a previously-documented condition. Assignments are made on a space-available basis; students are advised to complete the Housing & Meal Plan Accommodations Process as soon as possible.

To protect your privacy and ensure confidentiality, CCA’s Disability Services will provide information about a disability to college staff only to the extent that it is necessary to facilitate accommodations.


Reasonable Accommodations & Modifications

A “reasonable accommodation” is a change, adjustment or an exception to a general rule, policy, or service.

A “reasonable modification” is a structural change made to existing premises, occupied or to be occupied by a person with a disability, in order to afford the person full enjoyment of the premises.

For simplicity, this policy uses the term “reasonable accommodation” when discussing accommodations and modifications.

Reasonable accommodations include, for example:

  • Modified room assignment (e.g., wheelchair accessible, hard surface floor, room equipped for visual or hearing impairments, location in proximity to campus, exception to applicable on-campus housing requirements, etc.);
  • An exception to the “no pets” policy for a service or emotional support animal (see below for additional information regarding this accommodation);
  • Access credentials for a personal care attendant;
  • Structural changes to interiors and exteriors of dwellings and to common and public use areas (e.g., installation of grab bar, power-assist door, horns, strobes, removal of cabinetry for roll-under sinks, lowering/raising surfaces, moving furniture, etc.).

To show that a requested accommodation may be necessary, there must be an identifiable relationship, or nexus, between the requested accommodation and the individual's disability. 

Individuals with disabilities approved for housing & meal plan accommodations are not subject to surcharges.

CCA’s policy of providing equal enjoyment to individuals with disabilities extends to all individuals with disabilities who apply to reside in or have the authorization to access CCA housing.


Waitlist

Submission of a request for accommodation does not guarantee placement. CCA’s Disability Services will engage in an interactive process specific to each request. If a specific reasonable accommodation is unavailable, for example, due to the availability of space, the student will be notified and, if applicable, put on a waiting list. Disability Services will continue the dialogue with the student to determine other effective reasonable accommodations.

In most cases, CCA requires documentation from a qualified professional to establish the need for reasonable accommodation. Please refer to our Documentation Guidelines, which can be found here.


Denial of a Request for Accommodation

If CCA’s Disability Services preliminarily denies a request for an accommodation, Disability Services will clearly communicate the reason for its decision to the student, so that the student has a reasonable opportunity to respond and provide additional documentation that would address the objections. The interactive and collaborative process will continue until a final decision is reached.


Service Animals & Emotional Support Animals

A Service Animal is a dog that has been individually trained to do work or perform specific tasks to assist individuals with disabilities, including individuals with mental health disabilities. Examples include (but are not limited to) dogs trained to guide a blind individual or individual with low vision, an animal trained to alert a deaf or hard-of-hearing individual to sounds.

Students with disabilities are permitted to be accompanied by their service animals in all areas of CCA’s facilities where, as applicable, students are allowed to go.

An Emotional Support Animal (ESA) provides emotional support that alleviates one or more identified symptoms or effects of an individual’s disability. Unlike a Service Animal, an ESA does not necessarily assist a person with a disability with activities of daily living, nor does it accompany a person with a disability at all times. ESAs are not permitted in classrooms, dining facilities, other dwelling units, or in common areas except as necessary to access the outdoors.
